Setting Up a Corporate Event: An Operational Guide for Companies and Agencies

A corporate event is made in the three months leading up to it, not in the three hours of the live show. Timeline, budget, and responsibilities: our operational guide.

The Effective Timeline

Working backward from the event date, the deadlines that cannot be shifted:

  • T-12 weeks: Venue confirmed, concept and budget approved.
  • T-8 weeks: Final setup design, technical suppliers secured.
  • T-4 weeks: Graphics approved and in production, permits and paperwork submitted.
  • T-1 week: Production completed, installation and safety plan validated.
  • T-24 hours: Installation, technical testing, and dress rehearsal.

Budget Line Items

A corporate event setup budget breaks down into recurring items. Forgetting one is the most common way to exceed it:

  • Structures: Stage, platforms, backdrops, tensile structures, furnishings.
  • Technology: Audio, lighting, LED walls, control room, streaming.
  • Graphics and Print: Backdrops, signage, welcome materials.
  • Technical Catering: Field kitchens, systems, service areas.
  • Logistics: Transportation, installation, dismantling, waste disposal.
  • Safety and Procedures: Plans, equipment, permits.

Stage, Audio, and Lighting: The Visible Choices

The audience judges an event by three things: good sound, good visuals, and smooth timing. We size the audio system based on the actual audience and the venue's acoustics, not just on paper; we always include backup systems for microphones and the control room; and we design lighting for both the audience and those recording, because today every event also lives on video.

Permits and Safety

Depending on the location and audience, different procedures are required: usability permits, safety plans, fire prevention measures, authorizations for tensile structures and stages, insurance. This is the least visible part and the first to stop an event if neglected: we manage it entirely in-house, with documentation provided to the organizer.

Why a Single Technical Point of Contact

The creative agency and the company need a partner who can transform a concept into a safe and timely construction site. We do exactly that: a single point of contact for structures, technical aspects, and logistics, with event direction remaining with those who lead it.

Frequently asked questions

Do you work with communications agencies?
Yes, it's one of our typical collaborations: the agency brings the concept and client, we handle the setup, technical elements, and construction site. We can operate white label.
How much lead time is needed for an event with 300 people?
For an uncompromised result, 8-12 weeks are needed; we are also equipped for shorter timelines, but the available choices are reduced.
Do you also manage outdoor events?
Yes: tensile structures, coverings, flooring, generator sets, and backup weather plans are part of our routine work.
